Email templates
OnboardingHub sends emails to contacts at key moments — when they're enrolled, reminded, or when they complete a guide. You can customize each one.
Available templates

| Invitation | When inviting a team member to the workspace (this template is for team members, not contacts) |
| Reminder | When sending a follow-up to contacts who haven't completed their guide |
| Completion | When a contact completes all steps in a guide |
Editing a template
- Go to Workspace Settings > Email Templates
- Click the template you want to edit
- Modify the subject line and body content
- Save your changes
Dynamic placeholders
Templates support dynamic placeholders that are replaced with real values when the email is sent. For example, {{contact_name}} inserts the contact's name.
Common placeholders include:
{{contact_name}}— the contact's full name{{guide_title}}— the name of the guide{{workspace_name}}— your workspace's name{{enrollment_link}}— the link to access the guide
The template editor shows all available placeholders for each template type.
Resetting to defaults
If you've made changes and want to go back to the original template, use the Reset to default option. This replaces your customized content with the standard OnboardingHub template.
Tips for effective onboarding emails
- Keep it short — your contacts are busy. Get to the point quickly and make the call to action obvious.
- Be personal — use the contact's name and reference the guide they're enrolled in.
- Set expectations — let people know how long the guide will take and what they'll learn.
- Follow up — use the reminder template to nudge contacts who haven't started or who have stalled partway through.
