Uploading and managing media

The media library is where you store and manage all the images, videos, and documents used in your guides.

Accessing the media library

Click Media in the sidebar to open the media library.

Uploading media

Click Upload Media in the top-right corner. You can select one or more files to upload. Each file is validated for type and size before being stored.

Browsing your library

The media library displays your assets in a grid view. Each item shows a thumbnail (or icon for documents), the filename, file type, size, and upload date.

Filtering

Use the All Types dropdown to filter by:

  • Images — PNG, JPG, SVG, GIF, WebP
  • Videos — MP4, WebM
  • Documents — PDF

Searching

Use the search bar to find assets by filename.

Editing media

Click the edit icon on a media item to update its alt text. Alt text is used for accessibility when images are displayed in guides — it describes the image content for screen readers.

Deleting media

Select one or more items using the checkboxes and click Delete, or delete individual items from their menu.

Before deleting, OnboardingHub checks whether the media is currently used in any guide steps. If it is, you'll be warned — deleting a media item that's in use will remove it from those steps.

Storage limits

Your workspace has a storage limit based on your plan. You can see your current usage in the billing section. If you hit the limit, you'll need to delete some existing media or upgrade your plan before uploading more.
