Inviting team members

Invite teammates to your workspace so they can help build guides, manage contacts, and track enrollments.

Sending an invitation

  1. Click Team in the sidebar to open the team page
  2. Click Invite Member
  3. Enter the person's email address
  4. Choose a role (see Understanding roles and permissions)
  5. Optionally add a personal message
  6. Click Send Invitation

The person will receive an email with a link to join your workspace. The invitation expires after 7 days. If it expires, you can resend it from the team page.

If you don't see the Team option, you may need Admin or Owner permissions.

Bulk invitations

Need to invite several people at once?

  1. From the team page, click Bulk Invite
  2. Enter multiple email addresses
  3. Select a role for all invitees
  4. Optionally add a message
  5. Send

All invitees will receive the same invitation email.

Managing pending invitations

The team page shows two lists:

  • Active members — people who have accepted their invitation and joined the workspace
  • Pending invitations — invitations that haven't been accepted yet

For pending invitations, you can:

  • Resend — send the invitation email again (up to 5 resends per invitation)
  • Revoke — cancel the invitation so the link no longer works

What happens when someone accepts

When an invitee clicks the link in their email:

  1. If they already have an OnboardingHub account, the workspace is added to their account
  2. If they're new to OnboardingHub, they'll create an account and then join the workspace
  3. They'll appear in the active members list with the role you assigned

Team size limits

Your plan sets a maximum number of team members. Pending invitations count toward this limit. If you've reached the limit, you'll need to upgrade your plan or remove existing members before inviting new ones.
